Board of Directors Meeting Minutes

Board Member Attendees:

• Dustin Palmer – President
• Jeff Frayser – Vice President

• Saylee Sakalikar – Community Relations Director
• Christine Saville – Treasurer

Board Member Absent:

• Tim Connor – Ride Coordinator

Call to Order:
The meeting was called to order by Dustin Palmer at 3:05 PM.

Recurring Business

Conflict of Interest:
No new conflicts were disclosed by Board Members.

Determine Date for Next Board Meeting:
The next meeting will be held on Sunday, September 21, 2025, from 2:00 PM to 4:00 PM.

Financial Update:
Motion to approve financial data was made by Sarah Panepinto and seconded by Dustin Palmer. Saylee Sakalikar and Jeff Frayser voted in favor. Motion passed.

Membership Update:

• 568 active members.
• 345 members have claimed their profiles on the new website.
• Approximately 223 members have not yet logged in.

General Business

Website Access and Training:

• Sarah will coordinate access for Anjali Karve and Saylee Sakalikar to view website reports.
• Board training session to be scheduled.
• Additional training session planned for ride leaders.

Ride Posting Consistency:

• Standardized format for ride postings:
• Title: Time – Pace – Miles – Name
• Short Description
• Start Location
• Ride Leader
• A reminder will be sent to ride leaders regarding consistent posting practices.

ClubExpress App Issues:

• Users are redirected to the home screen instead of the ride list after exiting a ride.
• Switching clubs requires logging out and back in.

Jersey Update:

• Final design approved.
• Motion made by Jeff Frayser, seconded by Christine Saville. All board members in agreement.

Events Planning:

• Hotter’N Hell (HHH):
• Setup includes bike racks, tables, benches, tents, coolers.
• Refreshments: Coke Zero, water, beer, cookies, Uncrustables, chips, watermelon.
• Labor Day Rides (9/1/2025):
• Locations: NorthEast Park and Sem Park.
• Saylee will coordinate shopping. Menu includes burgers, hot dogs, veggie options, chips, sodas.
• Rolling into Fall (9/13/2025):
• All preparations complete.
• Big Dam Bridge (9/27/2025):
• Setup similar to HHH.
• Drinks provided; no food.
• Scottish Rite Event (11/1/2025):
• Jeff will contact organizers.
• Silent auction planned.
• Potential sponsors: Cathy, Financial Planning, Scheels, Bike Mart.

Adjournment:
Motion to adjourn was made by Sarah Panepinto and seconded by Jeff Frayser. Meeting adjourned at 4:44 PM.
